If hired, you will be considered an at-will, full-time non-exempt employee.Colorado Springs Utilities is hiring a temporary Administrative Specialist for the Operations Administrative Support (OAS) team under the Operations Technical Services Department which is responsible for the operations of our gas, water, wastewater, and electric services to provide reliable service to our customers. In this job, you will support key personnel, including the Department Manager, and will be responsible for interacting with supporting, and impacting our community every day.Key Areas of Focus:
Reconciliation of multiple P-Card in adherence with current policy, procedures, and guidelines
Review and process invoices for payment and assign account numbers utilizing the invoice tracking tool (Maximo)
Make reservations and travel arrangements utilizing the travel administration Deem/Frosh Travel tool and ensures travel policies and procedures
Provide interview support utilizing Taleo
Maintain and update calendaring systems, coordinate scheduling, and reserve conference rooms
Coordinate presentations and meeting agendas
Support handling of confidential personnel issues; process personnel documents and perform any associated compliance administration as applied or assigned
Coordinate special events
Create and maintain records management solutions for office documents, track the collection and/or receipt of documents, and verify completion; administer and/or maintain required record retention procedures
Advise others on administrative procedures and/or provide training and instruction
Review, process, prioritize, and/or route incoming mail, publications, directives, and regulations
Send, retrieve, and prepare documents, and materials (i.e., e-mail, fax, mail, ship, courier, etc.); keep common area equipment operational
Prepare and proo letters, memos, reports, presentations, and other correspondence
Generate reports, spreadsheets, requests for proposals, publications, presentations, and other materials considered detailed and/or complex; and presentations as required
Order supplies or materials for department, meetings, or events
Who You Are Your professionalism and sound decision-making skills will be leveraged ensuring seamless team and operational support while providing administrative support to a department or group of professionals under minimal supervision.
