Receptionist/Administrative Support

Overview

We are seeking a highly organized and detail-oriented Receptionist/Administrative Support to join our team. In this role, you will be responsible for providing comprehensive administrative support to ensure the smooth operation of our office. The ideal candidate will possess strong communication skills and be proficient in data entry and have experience with customer support. This position is essential for maintaining an efficient workflow and delivering exceptional service to our clients.

Duties

Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date and organized.

Manage front desk operations, including greeting visitors with a genuine smile and eye contact. Learning and using client names, answering phone calls with professionalism and excellent phone etiquette.

Maintain a neat lobby, reception area, file room and Conference Room.

Assist with bookkeeping tasks using QuickBooks, including invoicing and tracking payments.

Proofread documents for accuracy and clarity before distribution.

Assemble presentable tax and financial packets.

Maintain accurate filing systems, both electronic and physical, to ensure easy retrieval of information.

Provide administrative support by scheduling appointments, managing calendars, and coordinating meetings.

Handle customer support inquiries promptly and effectively, ensuring a positive experience for all clients and team members.

Collaborate with team members to streamline processes and improve office efficiency.

Maintain office supplies by reordering, receiving and stocking supplies.

Running daily errands.

Qualifications

Proven experience as an Administrative Assistant or in a similar role.

Strong organizational skills with the ability to manage multiple tasks simultaneously.

Proficient in data entry with a high level of accuracy.

Proficient with Excel, Word, Outlook and multi-line phone. Some knowledge of QuickBooks is preferred, but not required; willingness to learn is essential.

Excellent proofreading skills with attention to detail.

Strong communication skills, both verbal and written.

Ability to work independently, with limited supervision as well as part of a team.

Must be able to lift 25-30 pounds, stand and sit for long periods, reach, bend,

As part of your responsibilities will be running errands in your personal vehicle, the need for a dependable vehicle, possessing and maintain a valid California Driver License, satisfactory driving record and vehicle insurance are a must.
