Part-Time Executive Assistant for Female Investor / Entrepreneur

I am looking for an extremely dependable executive assistant based in the Tahoe-area who can operate across a multitude of business and personal projects. I am a busy investor, entrepreneur and consultant within the finance, tech/AI and biotech sectors. I am seeking someone who can take ownership of all administrative responsibilities, working alongside me in all aspects of my life and opening me up to focus on the things for which I am needed most. My desire is for this to become a long-term relationship with you riding shotgun with me on this voyage.

Requirements:

- Pay: $40/hour

- Hours: 10-20 hours per week across 3-4 days. Flexibility is key for both of us. Working days could be weekdays or weekends, depending on our schedules. We both live in Tahoe and love all the things this area has to offer. If it’s a fresh powder day and nothing is urgent, go hit the slopes and we’ll talk later.

- Location: Mostly remote but 1, sometimes 2, days at my home in Tahoma.

- Resources: You have a valid driver's license, reliable vehicle, smartphone and laptop.

Who you are:

- Obsessed with organization. You pride yourself on delivering the highest quality work with utmost attention to detail. You create systems to ensure smooth workflows and nothing falls through the cracks. You always proofread before sending to ensure no grammatical or spelling errors. You notice details others miss and thrive on creating order out of chaos. You anticipate my needs and get ahead of questions I may ask. You make it easy for me to make quick, informed decisions.

- Thrive off intellectual stimulation. No two days are the same. My professional life is very high tech while my personal life is intentionally very low tech. You are an independent minded thinker, always leveraging your problem solving skills to find the best solution, not just the fast or easy solution. You have a growth mindset and easily pivot into research mode to understand the mechanics of the problem at hand and all possible solutions.

- Tech-savvy. To be efficient you must effectively leverage productivity technologies and integrate seamless workflows. I need transparency into the status of what is being worked on and the backlog of tasks yet to accomplish. Ideally you are familiar with Slack, Asana, Notion, ChatGPT and Google Workspace and can ideate on ways to integrate these tools (or others) more cohesively. Even if you lack direct experience with these tools, you have a burning interest to be on the cutting edge of utilizing productivity technologies to make your life and job easier. Let’s accomplish more in less time by working smarter, not harder.

- Excellent communication. This is probably the most important quality of yours. You keep me updated without me having to ask. You respond to my Slack messages within a few hours. You set realistic expectations and let me know how things are going along the way. You share your thought process and allow us to work through problems or ideas together. Often it’s not what you say but how you say it. You know how to communicate professionally and clearly with warmth and candor.

- Easy going and good sense of humor. At the end of the day, it’s about the people. I’d much rather have someone who is less experienced but a hard worker who enjoys this absurdly wild ride of life instead of highly experienced but stuffy and strict. While yes you must be professional and discreet, having the discernment to know when to be serious and when to be easy will serve you well. This whole thing is highly fluid and if we can together surf these waves and have some good laughs along the way, then this relationship will flourish.

Projects you will own:

- Email and calendar management. Monitoring important personal and business accounts, flagging important emails that need to be read or responded to. Managing my calendar to ensure I don’t miss important upcoming events, meetings and trips. Researching and scheduling flights, accommodations, and itineraries for personal and professional travel.

- Business finances and admin. Organize important documents, scan and upload papers to store digital copies on Google Drive. Collate receipts for tax purposes. Track and analyze business expenses. Submit invoices and payments as needed.

- Lightweight research. As I look to procure new products and services, help me understand what the options are and tradeoffs across each. Examples include - purchase a new TV, onboard a new productivity tool or dataset, or hire a housecleaner.

- Vendor and contractor support. I have 5 part-time employees supporting my business ventures. You will interact with them to help coordinate meetings and schedules. You will also help with writing job postings, vetting potential new hires, and managing on-boarding/off-boarding processes.

- Household and relationship management. Plan meal ideas, purchase birthday gifts, schedule doctors appointments, pay utility bills, arrange furniture deliveries, make dinner reservations, etc.

- Errands and logistics. Coordinating orders and deliveries, Pick up or drop off mail, packages, home decor, groceries, dry cleaning, etc. as needed.

Your sole mandate is to minimize the amount of time I spend on busy work so I can focus on ideating, creating and decision making. You can easily toggle between high level professional and intimate personal tasks. As you get to know me, you will intuit what I need and what are the top priorities. Think of yourself as my first mate steering this ship.
