Office Administrator with Bookkeeping Experience
Asset Partners Group, LLC is hiring for one of our clients, Aker Development, for an Office Administrator role.
Job Summary:
Aker Development is seeking a highly organized, proactive, and detail-oriented Office Administrator to oversee and optimize daily office operations. This position plays a vital role in supporting project coordination, financial support, marketing efforts, and administrative efficiency, contributing to the overall success of our development projects. The ideal candidate will bring exceptional organizational skills, a commitment to quality, and the ability to manage multiple responsibilities effectively.
Responsibilities include:
Administrative Operations: 10%
Oversee office decor and ensure a professional, welcoming atmosphere.
Manage incoming and outgoing correspondence, including emails and mail.
Develop and maintain organized digital and physical filing systems.
Maintain and improve office organization, cleanliness, and supply inventory.
Handle office cleaning, trash disposal, and general upkeep.
Ensure office technology (cameras, software, etc.) is functioning properly.
Bookkeeping, Compliance, and Subcontractor Support: 35%
Process invoices, receipts, and payments in QuickBooks; reconcile accounts monthly.
Administer utility and rent payments for projects and company properties.
Collect, verify, and maintain subcontractor documentation, including W9s, insurance, and CCB.
Manage 1099 submissions and compliance for subcontractors.
Update and maintain company licensing and certifications as needed.
Handle vehicle registration and renewals.
Project Support: 35%
Schedule, monitor, and document inspections on Monday.com.
Assist with project packets, including hardware, fixtures, and landscaping plans.
Oversee ordering, tracking, and organizing project materials, ensuring cost efficiency.
Coordinate permit issuance. (SDC Applications, Permit Payments, Etc.)
Marketing and Social Media: 5%
Draft and schedule posts for company social media platforms (Ex. Linkedin, Instagram, Facebook, Etc.) to increase brand visibility.
Update website content with current projects, team bios, and announcements.
Assist in creating marketing materials, brochures, or newsletters for clients and stakeholders.
Support outside marketing service providers for any marketing initiatives.
Event Planning and Coordination: 5%
Organize company events, client appreciation events, or community outreach programs.
Plan logistics for industry conferences, trade shows, or training workshops.
Coordinate vendor relationships for event setups.
Human Resources Support: 5%
Assist in on-boarding/off-boarding employees, including setting up workstations, creating email accounts, setting up logins and ensuring all HR paperwork is completed.
Track employee compliance with training requirements and certifications.
Client Relations: 5%
Prepare and distribute meeting agendas and document meeting minutes.
Provide professional responses to inquiries and address any client concerns promptly.
Act as the point of contact between internal teams, clients, and subcontractors to ensure seamless communication.
Qualifications:
Min 3 years of experience in office administration, preferably in construction or development.
Min 1 year of bookkeeping experience preferably in QuickBooks and financial reconciliation.
High school diploma required and additional education preferred.
Familiar w/Google Suite, and/or Microsoft Word, Excel, over 40 wpm typing skills and comfortable using AI tools. Monday.com experience is highly desirable.
Detail oriented, strong organizational, communication, and multitasking skills.
Familiarity with licensing, permits, and compliance within the construction industry is a plus.
Self-starter with a proactive approach to problem-solving and process improvement.

Competitive pay between $46K - $60K a year.
