Office assistant
We are a Playground Design/Building Contractor established in 1977 and are looking for a self-motivated Construction Secretary to join our team. Our team consists of energetic, committed and experienced professionals who strive for excellence in our projects and provide outstanding customer service for our clients.
To succeed in the role, the candidate must be self-motivated, ambitious, organized, detail oriented, and possess strong time management skills to meet critical deadlines. We are looking for a self-starter who has the ability to work independently and contribute to the project team.
PLANNING, REPORTING & DATA ENTRY
Assist purchasing, project management & estimating departments as assigned.
Attend and Assist in estimating, production, safety and crew meetings with follow up on all assigned action items generated from these meetings.
Data entry of all labor, materials, equipment and all other related job costs and prepare weekly project summaries.
Assist purchasing, project management & estimating departments as assigned
Assist in preparation of project summaries for review at weekly production meeting as well as prepare data/information for project completions.
Tracking on UAttend software (will train) of employee time sheets and data entry/maintenance of expenses, receipts and invoices records.
Assist in facilitating sub-contractor contracts and project material ordering as per project estimate.
Other duties and responsibilities as requested
ESTIMATING
Prepare presentations and maintain updated information, hard copy data and computer project/estimate files and folder organization.
Communicate effectively with clients, vendors, sub-contractors, architects, engineers and all others associated with individual project estimates as assigned.
Prepare workers comp reports and liability insurance (provide certificates of insurance to clients, etc.)
Participate in contract administration.
QUALIFICATIONS, REQUIRED SKILLS & KNOWLEDGE
2+ years of construction administrative assistant responsibilities. The job is fast paced and requires a person who is capable of thinking quickly and problem solving Solid working knowledge of Microsoft Office Outlook, Excel, Word and Quickbooks.
Bilingual (Spanish/English) a plus
Insurable California Driver's License

COMPENSATION & BENEFITS
Job Type: Full time 40 hours a week, Monday through Friday.
Benefits: 5 days of sick leave per year
Salary: $25 to $30.00 based on experience
Opening available for 10 days starting June 3rd through 12th. Full time work considered after the temp position.
