Small law firm seeks a 35 hour per week Junior Administrative Assistant.

Workplace Description:

All Family Legal is a full-service law firm that provides high quality, caring legal services for assisted reproduction, adoption, dissolution/divorce, custody, co-parenting agreements, parentage orders, and guardianships, with a focus on LGBTQ and diverse families. We also provide assistance with legal name and gender changes. All Family Legal prioritizes customer service and authentic care above all else.

We are currently a staff of five, including two lawyers who are preeminent in their field supported by an exceptional team of three. Our offices are based in Glendale, California.

Job Responsibilities:

The primary goal of the Administrative Assistant will be to provide assistance in administrative tasks while implementing systems that keep operations running smoothly.

The Administrative Assistant will, after training:

Produce client engagement and closure paperwork

Schedule client consultations, meetings, and hearing deadlines

Send documents for signatures through the firm’s e-signing software

Send documents for signatures with proper markings through regular mail

Print, compile and prepare paperwork for court submissions by mail and e-filing

Send requests for documents and information from clients

Process daily incoming and outgoing mail

Answer phones

Help maintain the firm’s electronic and paper filing systems

Track office inventory and order supplies as needed

Coordinate travel

Send thank you gifts for client referrals

Maintain a light presence on our social media accounts, with opportunities for creative growth including newsletter collaboration

Complete other administrative tasks as needed

The Junior Administrative Assistant will often be the first point of contact with new potential clients and will work with the entire team at the firm.

Job Qualifications:

The ideal candidate for this job is extremely detail oriented: when someone calls you Type A, you wear it as a badge of honor and strive to get to Type A+.

The ideal candidate is extremely organized and is comfortable managing and tracking a wide variety of tasks across a high caseload.

The ideal candidate also loves technology and enjoys finding new ways of using technology and other creative solutions to save time and improve systems and organization.

They will be friendly, courteous and kind to all clients, potential clients and lawyers, and they have experience with customer service.

They should be an excellent and reliable communicator, who is able to set and work within clear timelines and deadlines.

They are solutions-oriented and constantly striving for improvement and growth.

They should also identify as a lifelong learner who enjoys picking up new skills and knowledge as necessary.

All candidates should have excellent English grammar and writing skills.

Candidates with fluency in Spanish are highly encouraged to apply.

While a bachelor’s degree would be preferred, candidates with different educational and employment backgrounds are welcome to apply who can show relevant experience and transferrable skills.

Compensation:

This position will begin with a 90-day trial period. The position will be 35 hours per week at a pay of $22 per hour. The junior administrative assistant will be expected to be at the office in Glendale during regular business hours five days per week. This job has strong opportunity for growth.
