World-renowned American daily newspaper located in Midtown, Manhattan is seeking to hire a Temporary-to-Permanent Executive Assistant to provide high-level and tactical support to the General Counsel, a member of the Executive Committee. You will serve as a key partner to colleagues across the legal and labor departments and work closely with the director, legal operations, to support department management. As an Executive Assistant you will represent the brand, to both internal colleagues and external clients, proactively approach tasks and requests effectively, and report directly to General Counsel. This position will start ASAP, operating on a hybrid schedule requiring Tues-Thurs on-site form 9am-5pm with Paid OT when perm (must be pre-approved). Responsibilities:Manage active meeting calendar, including coordinating with participants, resolving conflicts, booking conference rooms and arranging technology, and generally manage the General Counsel's daily scheduleOrganize department meetings, including scheduling, reminders, agenda development, conference room and virtual room set-up, catering and technology supportProvide general office management, collaborate with internal teams (facilities, information technology, and others) to serve our department's office needs, including equipment, maintenance, staff seating set-up, storage needs and suppliesServe as department administrator for Workday, managing position changes and overseeing time-keeping and paid time off, and maintain department vacation calendarPrepare drafts of general correspondence, department communications, reports and presentationsLead logistics for departmental and team events, social activities, offsite meetings, etc.Support multiple administrative matters including employee onboarding and offboarding, disaster recovery/business continuity, budgeting, and coordination of periodic training effortsAssist other senior legal leaders with calendar supportArrange travel and manage expense report processingAnswer questions from department staff, assisting in the resolution of general problems and coordinating with other teams (information technology, human resources, etc.) to supporCollaborate with executive assistants across the organizationField incoming requests, including to department email accounts, and direct them to appropriate teams, and handle highly confidential information with good judgment and discretionSupport maintenance of, and compliance with, department applications and tools and ensure department members are well-versed on usage of shared document management practicesMaintain up-to-date and accurate department information in organizational charts and intranet; and maintain other department documents, files, resources and policies, in coordination with the legal operations teamPerform other responsibilities and special projectsBasic Qualifications:5+ years experience providing support for senior executivesWorking knowledge of Workday, Coupa, Egencia, Concur, and/or similar HRIS, vendor management, travel, and expense softwarePreferred Qualifications:Demonstrated ability to manage and meet deadlines in a fast-paced environmentCollaboratively work with all levels of management and staffExperience working with legal departments preferredClear written and oral communication skills3+ years of experience establishing organizational and prioritization systems for senior leaders and their teamsNotary publicCompensation/Benefits:100-110K DOE + Paid OT + Discretionary Bonus Great benefits Beacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
