Receptionists/Administrative Assistants are responsible for greeting visitors and delivering exceptional client service assistance. This entails answering calls and fielding them accordingly, addressing visitor questions and needs, and providing an overall welcoming environment. In addition, they are responsible for various marketing and office management functions, which include but are not limited to the following:
ESSENTIAL DUTIES AND RESPONSIBILITIES
Serves visitors by greeting, welcoming, and directing them appropriately
Maintains employee directory; Operates console phone system
Keeps a safe and clean reception area, cleans & organizes the print area and all common areas by complying with
procedures, rules, and regulations
Proficient with Microsoft Suite
Produces letters, memos, and correspondence as requested by department personnel
Maintains project department files, files correspondence, and other records
Acts as a liaison to facilitate open lines of communication between office personnel
Assists in scheduling and confirming meetings for assigned personnel
Makes copies of correspondence or other printed matter, and prepares outgoing mail
Assists in managing office supplies and keeps inventory
Assists in office overflow work with other Administrative Assistants/Accounting Clerks
Acts as a courier. Will organize materials to be delivered each day, run errands, and pick up
materials from various centers/agencies. A valid driver's license is required and a recent DMV record.
Other duties may be assigned when necessary to meet business requirements
MUST HAVE A VALID DRIVER'S LICENSE WITH A RECENT DMV REPORT.
