The OTS advocates for all transfer students by coordinating a set of information with community college counselors, advisors, and academic staff. OTS staff recruits, answers questions, and facilitates activities that are enhancing student learning and provides accessibility to resources. The Office of Transfer Services (OTS) is committed to serving transfer students by helping them prepare for rewarding academic experiences, assisting them as they transition to NCCU, and promoting their progress toward graduation.Primary Purpose of PositionThe primary purpose of this position is to provide optimal and excellent customer service to North Carolina Central University prospective and current transfer students by assessing the learning outcomes and program applicability of previous earned coursework, military experience, and certifications. The Transfer Credit Evaluator evaluates and articulates transcript credit for new, current, and returning transfer students in the Banner information system. Evaluates and articulates credit by exam (CLEP, IB, AP, etc…) in the Banner information system. The successful candidate assists the Office of Transfer Services with the implementation of OTS policy and procedures, recruitment and participates in departmental development. This individual uses discretionary judgement (as well as assistance from academic professionals) in the evaluation of student transfer credit. Duties require high level judgement and decision making; public contact with a range of internal and external constituents; thorough knowledge of office procedures, and the ability to maintain accuracy and confidentiality of all information, files, and records. The successful candidate will create, and maintain an accurate course equivalency database in the Banner system.Required Knowledge, Skills, and AbilitiesThe successful candidate must possess knowledge of FERPA guidelines and NC Central and UNC System policies and procedures; knowledge of Web navigation; knowledge of Ellucian Banner or an or equivalency system; knowledge of office and record management; knowledge of preparing correspondence; knowledge of Microsoft Office Suite (Microsoft Word, Excel and PowerPoint) Applications; ability to work independently with little or no supervision; to take initiative to see projects and assignments through to completion; to learn, interpret and analyze information to make necessary decisions; to exercise judgment and discretion in problem solving; to plan, prioritize and organize workflow; ability to work flexible schedules; excellent analytical and organizational skills along with written and oral communication skills, excellent editing skills; great interpersonal skills to interact effectively and diplomatically with a wide range of individuals in a high pressure environment.Minimum Education/ExperienceMaster’s degree; or an equivalent combination of a Bachelor’s degree and experience. Complete document level evaluations to include, but not limited to: academic transcripts, exams, certificates of completion and military documents, according to MOU’s and Articulation agreements. Assist in research and implementation of transfer credit evaluation policies and procedures based on department standards. Participate and assist with projects as assigned in order to further develop and improve transfer credit evaluation processes and resources. Makes judgments about how courses transfer and determines when courses need review through TES by academic departments to determine transferability. Supports the mission of NCCU by providing timely response for credit evaluations to maximize enrollment yield of admitted transfer students and retention of current students. Evaluates transfer credits for new undergraduate and returning students. Researches and resolves credit evaluation issues. Ensures accuracy and conformity with the University requirements to maintain institutional academic integrity. Accurately creates the official evaluation and transfer articulation information in Banner. Contributes to the continued improvement of the Office of Transfer Services through active participation in meetings, training, and professional development opportunities.Determine if transfer institutions are properly accredited according to NCCU and UNC System guidelines. Ensure all course equivalencies are kept current in the Banner system and Transfer Course Tracker.Log the number of transcripts evaluated daily. Performs other duties as assigned.Required Competency Information/Records AdministrationDutiesMaintain working knowledge of Banner INB, Banner SSB, TES , and BDMS. Maintains an internal transfer credit database of all transfer student transfer credit information. Prepare reports as requested and required to meet the goals of the institution.Skill in operation of modern communication tools. computers, and relevant software, especially related to data entry. Must be proficient in the use of Web navigation and knowledgeable about basic Windows software to run reports, create transfer credit articulation databases and query back data relating to institutions transfer credit accepted from, as well as transfer credit/courses equivalencies granted.Required Competency Managing Work and PerformanceDutiesMust be able to identify issues as it relates to system software upgrades and understand how they affect user interface or functionality. Will develop and implement strategies to rectify inefficiencies as it relates to transfer credit evaluation procedures.Required Competency Client/Customer ServiceDutiesCommunicates with internal and external customers regarding admissions policies, transfer policies, procedure and decisions. Responds to phone and e-mail inquires related to these issues. Meet with students to consult about credit transferability.
