Assistant Office Manager / Dispatcher
Seeking part time Office Assistant for industrial service business. 8-10 hours per week (split between 2-3 days). Somewhat flexible on days of the week. Potential for the job to evolve into more hours for the right fit. Must be available for full time hours 2-3 weeks per year to cover for vacation time. Job is located on the Westside of Santa Cruz.
DUTIES
OFFICE MANAGEMENT
o Dispatching Technicians
o Scanning work orders and uploading into Job Management System
o Maintaining “paperless” files of every job
o Management of all forms and paperwork required for jobs and work trucks
o Keep office supplies ordered and in stock
AR CLERK:
o Running bi-weekly past due reports
o Following up with customers and keeping progress notes up to date
o Posting incoming payments to Job Management System
o Prepping deposits
HUMAN RESOURCES:
o Approving hours for payroll
o Maintaining employee files, keeping benefits up to date.
REPORT MAINTENANCE
o Invoice Submission
o Quote Approvals
o QuickBooks and ACH payment receipts
o Rental Logs
o Parts Ordering/Receipt Logs
