Office Manager, Executive Assistant to Senior Rabbi
Overview
The Office Manager, Executive Assistant to Senior Rabbi is the detail-oriented professional who keeps ongoing congregational processes running smoothly. The position is responsible for ensuring every member of the administrative team has the resources that they need, and that the office is well-stocked and prepared. The position also supports the Senior Rabbi, organizing meetings with congregant leaders, and taking on special assignments as requested. Sitting in Beth Am’s administrative office, this in-person role is a warm first point of contact and resource for congregants and visitors who walk in or call on the phone. This full time position reports to the Executive Director.

Beth Am offers a variety of opportunities to engage in Jewish life, ranging from Jewish learning for all ages and backgrounds, social justice initiatives, fostering community and belonging, and leading inspiring holiday and prayer services. With more than 1,200 member households, this is one of the largest Jewish communities in the San Francisco Bay Area.
Compensation
Salary: $65,000 - $75,000

Responsibilities of this position include:
-Support Senior Rabbi in the work of the clergy with administrative tasks related to congregant life cycle events, communication, and scheduling.
-Anticipate needs of the clergy based on the Jewish calendar and other project timelines.
-Maintain, procure, and organize office supplies: printing equipment, postage, branded materials, and informational collateral.
-Ensure the administrative office is welcoming to all, aesthetically pleasing, logically arranged, and helpful to our professional team and congregants.
-Shulcloud congregant database management: support, and updating notes for congregants, managing registration forms and lifecycle reminders.
-Manage systems of communication: distributing mail, phone greeting and voicemail systems, mailing paper letters for congregants without email.
-Ordering food for gatherings and events, communicating with caterers and other staff
-Front office presence and general administrative work
-In-person and on-phone first impression for visitors and congregants: greeting, helpful information, proper direction
-Mastery of Microsoft office suite and its Google counterparts, especially Excel and Sheets.
-Other duties as assigned
-Preparing event supplies, mailings, etc.
-Must be able to carry and move with 20 lbs in boxes or supplies
