Position Overview

We are seeking an experienced Project Coordinator/Office administrator with strong coordination skills and administrative experience. This multifaceted position requires proficiency in project coordination, office administration, excellent organizational skills, and the ability to collaborate across various functions.

The Project Coordinator will report to the Director of Sales Operations and will work with sales and operations personnel to oversee all aspects of customer installations. This individual will be involved with strategic planning, scheduling and coordinating complex field service installations.

Key Qualifications:

Administration: Two to five years of project coordination, and administrative roles.

Software: Hands on experience with Microsoft Office, including Excel, Outlook, Teams as well as Adobe Acrobat, Dropbox, Zoom, etc., Google docs, and CRM applications.

Scheduling: Ability to schedule and coordinate projects.

Communication: Exceptional written and oral communication skills.

Problem Solving: Strong analytical and problem-solving abilities.

Team Player: Ability to work collaboratively in a team environment with all departments within the organization.

Adaptability: Capable of multitasking effectively and efficiently in a fast-paced workplace.

Customer Focus: Commitment to excellent customer service and client satisfaction.

Education: AA, BA or BS degree preferred, but not required.

Key Areas of Responsibilities include, but are not limited to:

Scheduling: Schedule Installations and field service visits by operations team, including initial field service visits and punch list/warranty activity.

Supply Chain Coordination: Track incoming freight and materials for projects.

Safety: Ensure safety protocols are followed and documented. Maintain a file of safety meetings with staff per OSHA requirements, and document them in file.

Staffing: Provide staffing assignments with field service team and outside subcontractors.

Warehouse: Work with warehouse manager to inspect incoming materials, and be sure they are staged and stored for installations.

Order Processing: Complete all paperwork needed for installations.

This is a full-time Position. Required to work in an office, Monday – Friday 8 – 5:00
