Looking for an Office Coordinator who wants to be part of a team supporting Commonweal's work in the world! The Office Coordinator will work with our administrative team to support operations and event activities This position is flexible in terms of FTE or duties for the right candidate, but ideally we are looking for someone full-time. In person (not hybrid), in our Bolinas office. $24 to $27 per hour.

Commonweal is a 47-year-old organization working to make the world a better place. We have more than 50 programs in different fields including healing circles; retreats for people with cancer; research projects on cancer and toxins with first responders; an international fellowship for people under 40 sharing about the polycrisis in the global south; a summer camp for Bay Area teens; and more.

Commonweal has a full-time to part-time position available. Office duties will include: processing outgoing and incoming mail; processing checks, credit cards, and cash as it is received; separating grants, contributions, and earned income; ordering supplies; and pulling monthly reports for printer and postage meter. Event responsibilities will include: Providing logistical support for large and small meetings and convenings, including working with caterers, reserving facilities, setting up meetings, and taking minutes at various meetings. Setting up includes lifting up to 40 pounds. Other responsibilities will be added as needed and as capacity or experience allows.

This position is flexible in terms of FTE or duties for the right candidate, but ideally we are looking for someone full-time. The position can be structured over five, four or three days for the right candidate. The wage for this position depends on experience, and the range is $24 to $27 per hour. The tasks require someone who can work in our office in Bolinas. The in-person interview may include a skills check in Microsoft Office, Zoom, Adobe Acrobat, and Google Drive.

Overall Responsibilities

Office Coordinator Tasks

Manages the office including phones, shared office equipment like copiers.

Coordinates the paperwork flow, including establishing and maintaining filing systems, fax correspondence, mail, and inter-office communications.

Manage office supplies, equipment, and ordering.

Process income and contributions as they are received.

Work in Salesforce CRM and creates standard and customized reports utilizing several different applications/databases.

Assists in training new team members on systems and processes.

Point person in the office to know what is happening in the Main Building.

Lobby/Kitchen/Storage maintenance (tidying-up); alert Site Manager if maintenance need

Responsibility for coordinating phones and IT requests with IT consultants, inventorying open software licenses and available hardware, and ordering. Basic knowledge of IT support for our mixed Mac/PC office—including computers, networks, and related hardware—a plus.

Conducts special projects research, synthesizes data, and reports back as needed.

Provides logistical support for large and small meetings and convenings, including working with caterers, reserving facilities, setting up meetings, and taking minutes at various meetings.

Physically helping to set-up event spaces that may include moving chairs, tables, boxes, audio equipment, decorations and assembling.

Required Skills

Solid knowledge of typical office equipment, personal computers, networked environments, Windows, Microsoft Office Suite especially Word and Excel, GSuite especially Drive, Docs, and Sheets, Adobe Acrobat, Zoom, mathematics, and English

Desktop experience preferred

Attention to detail and accuracy

Ability to plan and organize with a strong ability to multitask

Strong communication and interpersonal skills

Problem identification, ability to analyze, confidence to ask questions or make recommendations

Team player with the ability to build cooperative working relationships

Ability to work with multiple deadlines and frequent interruptions

Strong commitment to helping programs impact the world for the better

CRMs, e.g. Salesforce

Physical Demands

All physical requirements typical for an office environment and event set-up, including walking up to third floor offices and lifting up to 40 pounds.

Work Environment

The work space, located in coastal West Marin, is usually cool.

Sick Leave: 80 hours per year prorated for part-time staff
