RESPONSIBILITIESOffice Management: Oversee the daily operations of the office, maintaining a clean and organized workspace. Manage office supplies, equipment, and inventory, ensuring that everything is adequately stocked, clean, and in working order. Administrative Support: Provide administrative assistance to the team, including scheduling appointments, coordinating meetings, and managing calendars. Prepare and distribute correspondence, reports, and presentations as needed. Handle incoming and outgoing communications, including phone calls, emails, and mail. Data Management: Maintain accurate and up-to-date records and databases related to clients, vendors, and exhibitors. Assist in the creation and management of contracts, invoices, and purchase orders. Ensure confidentiality and security of sensitive information. Office Catering and Events: Coordinate the office catering and events, being the go-to person for making sure our meetings, events, and Friday happy hours are a success. From organizing meals for important gatherings to planning epic summer and holiday parties. Travel and Accommodation Arrangements: Coordinate travel arrangements for the team, including booking flights, hotels, and transportation. Prepare itineraries and provide necessary travel information. Manage travel-related expenses and reimbursements. Event Documentation: Support the team in gathering and organizing event-related documentation, including contracts, permits, insurance certificates, and compliance requirements. Miscellaneous Tasks: Handle general office tasks, such as filing documents, processing invoices, and maintaining office policies and procedures. Assist with other administrative duties and projects as assigned by the management team.QUALIFICATIONS:Proven experience as an office administrator or in a similar administrative role Strong organizational and multitasking skills, with excellent attention to detail Proficiency in office software (e.g., MS Office suite, spreadsheets, database management). Excellent communication and interpersonal skills Ability to work independently and collaboratively in a fast-paced environment.
