Role Overview:

The Office Administrator/Manager will be the backbone of our operations, ensuring that all aspects of the office and project logistics are managed seamlessly. This role involves a wide range of responsibilities, including client and team scheduling, invoicing, payroll management, and general office organization. The ideal candidate will be proactive, detail-oriented, and confident in handling a variety of tasks to support our business growth.

Key Responsibilities:

Scheduling: Coordinate schedules for clients and employees, manage appointments, and ensure smooth project timelines.

Financial Management: Create and send invoices, manage payroll, track accounts receivable and payable, and ensure all financial records are accurate and up-to-date.

Client Communication: Serve as the main point of contact for clients, providing project updates and addressing any inquiries.

Subcontractor & Vendor Coordination: Manage subcontractors, open new vendor accounts, and handle interactions with suppliers to support project needs.

Administrative Tasks: Maintain spreadsheets, order supplies, process bills, and keep the office organized.

HR Support: Assist in sourcing and onboarding potential new hires.

Operational Support: Handle miscellaneous tasks as needed to ensure smooth day-to-day operations.

Qualifications:

Proven experience in an office management, administrative, or similar role.

Strong organizational skills with the ability to handle multiple tasks and prioritize effectively.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite and Google Office.

Confident, proactive, and able to work independently.

Strong problem-solving skills and a positive, can-do attitude.

Pay: over $50k year + Bonuses
