Alive IV and Wellness is seeking a dynamic, engaging, reliable and detail-oriented Patient Experience Coordinator to be the cornerstone of our client interactions and clinic operations. This role combines exceptional customer service with operational excellence, ensuring a pristine, well-stocked, and welcoming environment for our patients.

Job Description:

As our Medical Receptionist, you'll orchestrate exceptional patient care from initial contact through their entire visit. You'll be the vital link between our medical team and patients, ensuring seamless communication, outstanding service, and a hygienic, fully-equipped environment at every touchpoint.

Key Responsibilities:

Manage the patient journey from initial contact through follow-up care

Coordinate efficient check-in/out processes and appointment scheduling

Articulate medical recommendations clearly and empathetically to patients

Handle complex patient inquiries with professionalism and care

Manage and respond to online reviews, upholding our clinic's reputation

Mentor and support administrative team members

Utilize and optimize clinic management systems (Spruce Health, Acuity Scheduling, Healthie EHR)

Ensure strict adherence to HIPAA regulations and patient confidentiality

Proactively identify and implement improvements to enhance patient experience and clinic efficiency

Oversee the cleanliness and preparation of treatment rooms and common areas

Ensure all spaces are properly sanitized, stocked, and ready for patient use

Coordinate with cleaning staff and communicate any special cleaning requirements

Receive, inspect, and organize medical supplies and equipment

Maintain accurate inventory of medical supplies, cleaning materials, and clinic essentials

Coordinate with suppliers and medical staff to ensure timely restocking of supplies

Implement and maintain an organized storage system for all clinic supplies

Qualifications:

Proven track record in healthcare reception or patient coordination (2+ years preferred)

Exceptional interpersonal and communication skills

Proficiency in medical terminology and billing procedures

Strong organizational abilities with a talent for multitasking and inventory management

Experience with healthcare software systems

Thorough understanding of HIPAA and patient privacy practices

Demonstrated ability to convey complex information with clarity and empathy

Resilience and positivity in a fast-paced environment

Attention to detail, particularly regarding cleanliness, organization, and inventory control

Knowledge of proper sanitation practices and medical supply management in a clinical setting
