Position Summary:

We are seeking an enthusiastic and detail-oriented Administrative Assistant to provide essential administrative support within our Support Services Department. This position offers a dynamic opportunity to contribute to a fast-paced and collaborative environment by managing clerical duties, receptionist responsibilities, and assisting our management teams in various administrative tasks.

Key Responsibilities:

Reception & Communication: Answer all incoming calls, respond to inquiries, and greet visitors. Use telephone scripting when receiving calls and ensure inquiries are handled with a positive, can-do attitude.

Data Entry & Reporting: Utilize various computer programs to maintain department data, generate reports, and handle record-keeping.

Customer Service: Exhibit excellent customer service by promptly addressing customer requests and following up with urgency.

Administrative Support: Assist with administrative tasks such as scheduling interviews, handling pre-hire assessments, conducting background checks, and processing new hire paperwork.

Personnel Management: Maintain accurate personnel records, including training files, employment documents, and required regulatory information.

Payroll & Time Management: Process timecards, payroll reports, and submit them in a timely manner.

Department Coordination: Ensure smooth operations by maintaining office supplies, managing departmental communication, and providing support to the management team.

Patient Transport Coordination: Answer calls and dispatch transporters for patient transport requests.

Confidentiality: Adhere to HIPAA policies, ensuring all patient, employee, and staff information is handled with the utmost confidentiality.

Teamwork & Collaboration: Work closely with other departments to ensure the efficiency and smooth functioning of daily operations.

In-service Training: Attend all required in-service training sessions as designated by the facility and department.

Required Skills & Qualifications:

Education: High School Diploma or GED required; Associate degree or advanced business training preferred.

Experience: A minimum of two years of proven success in an administrative assistant or related business role.

Technical Skills: Proficiency in Microsoft Office and general business software programs. Must have the ability to type at 50 words per minute.

Communication Skills: Strong verbal and written communication skills. Must be able to interact effectively with employees, patients, and management.

Customer Service: Excellent interpersonal skills and the ability to provide exceptional service to both internal and external stakeholders.

Time Management & Flexibility: Ability to handle multiple tasks simultaneously, prioritize effectively, and work independently with minimal supervision.

Attention to Detail: High level of accuracy and attention to detail in all aspects of the job.

Additional Qualifications:

Ability to work effectively within a team and in a fast-paced environment.

Must possess excellent organizational skills and demonstrate flexibility and a positive attitude in a dynamic work environment.
